Schedule Standard Journals

You can schedule to post the Standard Journals on a specific day or time using the Cloud Scheduler feature for Standard Journal. Scheduling and automating the Standard Journals posting process avoids delays caused by manual posting.

The application will automatically post the journals based on the scheduled time, adding convenience and consistency to the existing posting process.

Note
The user should have complete access to the Standard Journal for posting via Cloud Scheduler.

How to Schedule Standard Journals?

  1. Navigate to Maintenance > Administration > Cloud Scheduler.
  2. Select the Process Flow tab and click the Add icon.
  3. In the General Information tab, fill in the Code, Name, and Email Recipients fields.
  4. Go to the Tasks tab, and click the Add Task icon. A New Task window appears.
  5. Select Standard Journal as the Task Type and enter the Task Name.
  6. Click the arrow icon next to Scenario, and select the scenario from the list.
  7. Click the arrow icon next to Entity, and select the entity from the list. 
  8. By default, the Custom Period is selected.
  9. Select the From and To month from the respective fields.
  10. (optional) Select the Dependencies from the list, if any.
  11. For Standard Journals click Selected, and check the Show standard journals for all status (right pane) checkbox to view the list of standard journals.
  12. Select the desired Standard Journals for scheduling.
    Note:
    To view the selected journals, click the Selected Journals tab.
  13. Click Save.
    Note:
    Click Run to run the process immediately.
  14. Go to the Scheduler tab and select the Start Date, Start Time, and Time Zone. To repeat the process, check the Repeat checkbox and fill in the required fields.
  15. Click Save & Schedule to schedule the process at the specified time.

Schedule Recurring Journals

You can auto-process recurring journals with multiple processing options via the cloud scheduler. This reduces the manual effort of processing recurring journals and posting standard journals for a predefined schedule.

How to Schedule Recurring Journals?

  1. Navigate to Maintenance > Administration > Cloud Scheduler.
  2. Select the Process Flow tab and click the Add icon.
  3. In the General Information tab, fill in the details for Code, Name, and Email Recipients.
  4. Go to the Tasks tab and click the Add Task icon. A New Task window appears.
  5. Select Recurring Journal as the task type and enter the Task Name.
  6. Click the arrow icon next to Scenario, and select the scenario from the list.
  7. Click the arrow icon next to Entity, and select the entity from the list. 
  8. Select a Period from the drop-down list.
    To choose a specific period, select Custom Period, and choose the From and To (months and years) in the respective fields.
  9. (optional) Select the Dependencies from the list, if any.
  10. Select either one or a combination of the below processing options:
    1. Create Standard Journals: This option processes recurring journals for a selected period and creates respective Standard Journals.
    2. Overwrite Standard Journals: This option processes recurring journals for a selected period and overwrites the standard journals with status not posted.
    3. Post Standard Journals: This option posts the standard journals created while processing the recurring journals.
  11. For Recurring Journals, click Selected, and select the desired Recurring Journals from the list (right pane). To view the selected journals, click the Selected Journals tab.
    Note:
    To view the selected journals, click the Selected Journals tab.
  12. Click Save.
    Note:
    Click Run to run the process immediately.
  13. Go to the Scheduler tab and select the Start Date, Start Time, and Time Zone. To repeat the process, check the Repeat checkbox and fill in the required fields.
  14. Click Save & Schedule to schedule the process at the specified time.

Schedule Reclassification Journals

You can auto-process Reclassification journals for a predefined schedule with the Cloud Scheduler. You can also select all the eligible reclassification journals at the time of processing and see all the selected journals in the Selected Journals tab.

The Select All option allows you to process all Reclassification journals for a predefined schedule, eliminating manual effort.

How to Schedule Reclassification Journals?

  1. Navigate to Maintenance > Administration > Cloud Scheduler.
  2. Select the Process Flow tab and click the Add icon.

  3. In the General Information tab, fill in the details for Code, Name, and Email Recipients.

  4. In the Tasks Tab, click Add Task. A New Task window appears.
  5. Select the task type Reclassification Journal and fill in all the details.
  6. In the Reclassification Journals option, click either Selected or Select All.
    1. Selected: Click this to choose specific reclassification journals from the list (in the right pane). To view the selected journals, click the Selected Journals tab.
    2. Select All: Click this to process all eligible reclassification journals when executing the task.
  7. Click Save.
  8. In the Scheduler tab, define all the fields for the reclassification journals you want to process monthly.
