How to Upload Vendor Names Using a Data Load Rules (DLR)?

  1. Navigate to Maintenance > Data Integration > Data Load Rules and click New Data Load Rule.

  2. Enter a name and description.

  3. Select the desired Load Type (e.g, File Load), Load Item as Attributes, and choose the appropriate attribute (such as "Vendor") from the Load Sub Item dropdown.

    Note:

You may select a different Load Type. The remaining steps will vary depending on the Load Type chosen.

  4. In the Select Sample Input File step, upload your input file (CSV, XLS, or XLSX). The file should include columns such as Leaf Code, Leaf Name (optional), and the vendor name.

Set the row containing the header as 1 and the number of source fields based on your file columns.

  5. In the Define Overall Rule Settings step, review and update settings as required.

  6. In the Define Data Mappings step, map Leaf Code to the appropriate segment and vendor Name to the corresponding attribute.

  7. In the Load Data step, choose the actual data file, then click Finish to process the upload.

What is the COA Segment Combination Validation fail in Data Load Rules?

A COA Segment combination validation fail in a data load rule occurs when a combination of segment values in the uploaded file does not match any predefined valid combinations set up in the system. These combinations represent valid relationships between dimensions such as Department, Location, Account, etc. If the segment combination in the data load does not match the configuration in the system, the rule fails with validation, and the data will not be loaded. To resolve this, review your segment hierarchy or validation rules and ensure the combinations you're trying to load are valid and active in the Planful configuration.

How to track DLRs by person?

You can track Data Load Rules (DLRs) by person using the following methods:

  • Audit Log – Allows you to filter and view actions (such as add/create, delete, edit, header settings, and more) performed by a selected user or all users.

  • Data Load Rules – On the Data Load Rules list page, use the Created By column to see who created each rule. Use the Modified By column to view who last edited a DLR. Click the column name to sort alphabetically.

Does GL load into statistical accounts?

Yes, GL data can be loaded into statistical accounts once the required configuration steps are completed.

  1. Create a leaf-level Statistical account by setting the Account Group under Segment Properties in the Hierarchy Management. To learn about adding a statistical account, click here.

  2. Add the statistical account members in your template setup design. To learn more about adding a template, click here.

  3. Once template setup is complete, make the template accessible in the Planning Control Panel. To learn more, click here.

  4. After completing the above setup, proceed to create a Data Load Rule (DLR) to load GL data into the statistical account members.

To load data into statistical accounts, make sure to select the following options while creating the DLR:

    1. In the New Data Load Rule step choose GL Data as the Load Sub Item.

    2. In the Define Overall Rule Settings step select the Scenario that includes the statistical accounts.

    3. In the remaining steps, update other rule settings such as file manipulations, data mapping, and file load, as per your requirements.

Where to update Email Id for Data Load Rule status to receive email notifications?

The performing user automatically receives Data Load Status notifications for specific load types via email. Additional recipients can be configured for certain Cloud Services, but users cannot enable or disable these automatic notifications

  • Load Type - Web Services: Users configured on the Web Services Access page will automatically receive email notifications for data loads via DLRs.

    • To remove the email recipients move the user(s) list to the Available User(s) from the Email User(s) list.

  • Load Type - File Load:  If the uploaded file is submitted via asynchronous load (file load submitted to the server for processing) for the following Load Items and Load Sub Items, and once the load is complete, the uploading user will automatically receive an email notification with the status of the File Load DLR once processing is complete:

    • Load Item: Data; Load Sub Item: GL Data, Translations Data, and Transaction Data V2

    • Load Item: Segment Hierarchies

    • Load Item: Workforce Planning; Load Sub Item: Workforce – Employee Compensation Item, Workforce – Employee Allocations

  • Load Type - Copy–Paste: The logged-in user performing the data load will automatically receive the notification for the Load Items: Transaction V2, and Alternate Hierarchy

  • Load Type – Cloud Services (Box and Google Drive)

    1. Navigate to Maintenance > Configuration Task > Cloud Services.

    2. Open the Box or Google Drive page.

    3. In the Other Email Recipients field, specify additional email IDs to receive notifications.

Configured recipients will receive email notifications when the data load happens. To stop receiving the email notifications,  remove the email recipients and click Save.
