Managing Employee Information Using the Reports Option

This option allows you to publish, export, or view the employee budget details by compensation item or GL account. Select each of the report options and email or export the results.


Note:
The Reports option is not present under the More menu on the Employees page. You will find it directly on the Employees page as shown below.


Let's explore the options under the Reports category:

  • Publish: This feature helps you to obtain the most up-to-date employee information. This ensures that the most up-to-date employee information is accurately reflected in reports or templates.
  • Export as Excel: This feature enables you to export the current employee information visible to you on the employees' tab in an Excel format.
  • Employee Report: This option gives you the employee report that includes the Compensation View, Natural View, and GL Account View. Click here to learn more about this option.
  • Compensation Item View: This option allows you to view the monthly report of the compensation items mapped to the employees.
  • Natural Account View: Natural Accounts are basic financial categories used to track specific types of transactions, like salaries or expenses. This option allows you to view the transaction-level data for Natural accounts and know the amount budgeted for each employee.
  • GL Account View:: The GL Account View option displays information about an employee's compensation, categorized by different budget entities. This view aggregates compensation amounts for various positions or employees over time, rather than breaking down individual components like base salary, bonuses, or benefits. To clarify, 'GL' stands for General Ledger, which tracks financial transactions, and 'budget entities' are the departments or segments within an organization that manage their own budgets. This view helps in understanding how total compensation is distributed across these segments. 
  • GL Account Detail View: This view gives a report on General Ledger Account Detail data for Workforce Budgeting.
    Note:
    You can select multiple budget entities from the Budget Entity field on the Report View pages.


Exploring the Employee Report Menu

This option appears in the More menu of the Employees tab (from the Workforce Planning Setup area under Maintenance) only after selecting one employee record.

Note:

 This option appears on the Employees page along with the other options when selecting an employee record as shown below.

The following are the different views available in the Employee Report menu:

  • Compensation View: This option allows you to view the monthly report of the compensation item details mapped to selected employees.
  • Natural View: Natural Accounts are basic financial categories used to track specific types of transactions, like salaries or expenses. This option allows you to view the transaction-level data for Natural accounts and know the amount budgeted for each employee.
  • GL Account View: The GL Account View option displays information about an employee's compensation, categorized by different budget entities. This view aggregates compensation amounts for various positions or employees over time, rather than breaking down individual components like base salary, bonuses, or benefits. To clarify, 'GL' stands for General Ledger, which tracks financial transactions, and 'budget entities' are the departments or segments within an organization that manage their own budgets.   • There are three options on the top-right corner of the Employee Report screen to export this report.

  • Export to Excel: This option enables you to download the report to an Excel sheet.
  • Print Setup: This option enables you to configure the settings for printing the report. On clicking this, the Print Settings screen appears and then you can select the output options and adjust layout preferences. Click Print once you're done.
  • Print: This option enables you to print the employee report.
