Introduction to Export

Export reports or your entire budget into spreadsheet (XLSX) format

The export mechanism, which is available from Create > Import / Export Data, enables you to explore your budget or formatted reports in an XLSX format.  The budget export is also the template for bulk importing items into your budget.

There are two tabs under the Export header, REPORT and MY BUDGET:

REPORT

Under the report section you can choose one or more reports that you would like to download to your computer in XLSX format.  Please note that not all reports may be available, since some require specific data to be present, but more about that below.

Campaign Report

This is a report about Campaign Status.  This report is split vertically into two sections: the left section has a column for Campaign and a second column for Child Campaign (if any).  The right section has columns with information about each campaign.

Such as owner, type, segment, status, budget, and expenses, as well as metric performance.

Rows of data about child campaigns are in a different color than those of their parents, to make it easier to distinguish between them.  All rows include the common definition data for Campaign, Child Campaign, Owner, Type, Segment, and Status, so that you can easily filter by those.

The first row for any campaign also includes the overall metadata about the campaign, such as Start Date, End Date, Allocated Budget, and Remaining Budget.  If there are metrics defined for the campaign, then each metric gets its own row, indicating the Metric, Product (the metric funnel name), Target CPO, Current CPO, Target ROI, and Current ROI.

Please note that some columns are collapsed by default, such as those to the left of Remaining Budget and those to the left of Metric.  In Excel you can click on the + to expand the "group" of columns.

Campaign Allocation Report

This report helps ensure that budgets with multiple levels of campaign hierarchy (for example a campaign that has a child campaign and a child expense group) are distributing the entire parent campaign budget per timeframe to the total child allocations.  If a parent's allocated amount in any timeframe is not equal to the sum of its child allocations in that timeframe, then this is indicated in three ways:

  1. The parent's name is turned red (which is filterable)
  2. The amount of the parent's allocation in that timeframe is turned red (also filterable)
  3. There is a non-blank value in column AB explaining the difference

Reallocation Report

There can be two different tabs for this reporting, Campaign Reallocation and Segment Reallocation, which visualize the changes in allocations between two baselines.  This report is only available when there is a previously-saved baseline for comparison.  Baselines are created in two ways:

  1. On the first day of every month, a baseline is automatically saved for every live budget
  2. An admin saves a baseline from the budget tab, by checking Save as Baseline before saving the budget.  At that point they will be asked to give that baseline a descriptive name (note that the date will automatically be appended).

If there is one or more baseline, then after selecting Reallocation Report you will also be able to pick two baselines (the latter of which could be Today):

The Campaign Reallocation and Segment Reallocation reports are both broken into three sections.  The top section shows the allocations from Baseline 1, the bottom section has the allocations from Baseline 2, and the middle section shows the difference (or blank if there are no differences).

Recaptured Budget Report

This tells you about Recaptured Budget, which is defined as the funds that Planful for Marketing made available for re-use that would have been stranded in closed campaigns, expense groups, or expenses.  So when you close a campaign or expense group without having utilized the entire allocated budget, that is tracked as recaptured.  Or when you plan at the expense level and close with an actual amount as less than the planned, that is also recaptured.

The top section totals the recaptured budget by timeframe, broken down by campaign, expense group, and expense.  The bottom section has a row with detail for each closed campaign, expense group, and expense, allowing you to drill into details.

BUDGET

From the budget section you can export everything about your budget into XLSX format.  In this section you can Export Budget as XLSX.  Using this template will enable validation as you add items to import.

This spreadsheet will have many tabs, some of which are for reference (such as the Budget tab), and others are for reference only (such as Budget Segments an Goals).  Some of the tabs used for validation are hidden by default:
