Getting Invoices into Planful for Marketing

How to make sure your Invoices are burning down your budget properly

To get the most up to date visibility on where your marketing spend is, it is often necessary to track invoices as they come in and make sure they are properly accounted for in your budget.

Planful for Marketing has a tool that explicitly helps with this.

How to get invoices into Planful for Marketing 

The most common way our users want to submit invoices to Planful for Marketing is via email. We can set up an email address that you can forward your invoices to that will ensure they get sent to the correct budget as soon as you hit 'Send'. Additionally, on the Invoices Mode of the expense page, you can click the upload button or simply drag and drop an Invoice onto the table.

We support PDFs at this time and 1 invoice per PDF.

Regardless of how you get your invoice to Planful for Marketing, once it is submitted, we create an unverified expense based on the data we pull from the invoice. It behaves exactly the same as all other expenses in Planful for Marketing - the unverified designation simply means it was created purely via automation and so it may be missing some important data either that wasn't submitted with the invoice itself or that our algorithm simply missed.

Verifying an Unverified Expense

Once an invoice is submitted and an unverified expense is created, it will appear in the Invoices Mode of the Expense page. All unverified expenses land here - a little inbox of expenses that may require your attention to ensure accuracy. 

*Note that these expenses still appear in your budget - if you have a $50,000 budget for January and you submit $40,000 worth of invoices that are dated in the month of January, the Manage page Dashboard, Homepage etc will all show you have spent $40,000.

AND you can include a campaign or expense group UID from Planful on your actual invoice, and when we read your invoice for processing, we will place it in the appropriate campaign or expense group.


From the Invoices Mode, you can click a row to open an unverified expense. This will show you a side by side view of the invoice itself and the expense Planful created from it, so you can quickly compare and ensure accuracy. The expense is also fully editable so if you want to add a GL code or parent campaign, that can be configured here as well. 

And if you submitted an invoice via email, there is an additional tab on this view where you can view the original email:

Once you verify an expense - it is a normal expense in every way and, as a result, it disappears from invoices mode.

Invoices mode also lets you quickly drag and drop expenses from the table view to the sidebar where you set your View by. So, you could view Invoices Mode by Campaign, select the "No Campaign" option (to see unverified expenses that are not in a campaign) and quickly drag and drop those expenses into the correct campaign. Note that this will not verify each expense, but it will quickly attribute certain data to each expense and make sure they are in the right place in your budget.
