# Introduction of Segments

## Effectively Organize Your Budget by Segment (Department, Geography, etc.)

To effectively create a budget, it's important to organize it into distinct sections or **Segments**. These segments refer to individual portions of your marketing plan that have a designated owner responsible for both spending and results. Each segment may be the entire plan or a subset within it. Additionally, each segment should have a unique name, a budget allocation per month or quarter, and a designated owner.

### Managing Budget Segments

The **Budget Segments** in Planful for Marketing allow admins to easily distribute ownership and allocate specific portions of the budget. With just a few clicks, users can modify segments to match their evolving business needs, ensuring efficient and flexible budget management.

### Accessing the Budget Page

1. Click the **Settings** icon in the top-right corner of the screen. ![](https://cdn.document360.io/0921f66c-db36-4ecd-9931-7ca61d3c3bd6/Images/Documentation/pfm-august-rn---int-image-9316jsqh.png)

The **Budget Page** displays budget segments in a user-friendly table, where each row represents
  1. **Name** of the segment
  2. **Owner** assigned to the segment
  3. **Allocation** (Monthly or Quarterly) ![](https://cdn.document360.io/0921f66c-db36-4ecd-9931-7ca61d3c3bd6/Images/Documentation/pfm-august-rn---int-image-1c1ysaic.png)
3. Click the **Manage Budget** button or the **three-dot menu** in the upper-right corner. ![](https://cdn.document360.io/0921f66c-db36-4ecd-9931-7ca61d3c3bd6/Images/Documentation/pfm-august-rn---int-image-j9dnzlzf.png)
4. Choose from the available actions:
  1. **Group Segments** – Combine multiple budget segments into a group. Enter a name for the group. ![](https://cdn.document360.io/0921f66c-db36-4ecd-9931-7ca61d3c3bd6/Images/Documentation/pfm-august-rn---int-image-j1i62x5d.png)
  2. **Ungroup Segments –** Separate previously grouped segments.
  3. **Delete Segments –** Permanently remove selected segments.
  4. **Duplicate Segments** – Create multiple copies of a budget segment. Duplicated segments will appear with “*copy*” next to their name.
5. After making changes, choose how to save the budget:

| **Save Option** | **Description** |
| --- | --- |
| Test | Indicates this is a test budget and not a source of truth. |
| Read-Only | Prevents any edits. The status must be changed to make updates. |
| Draft | Visible to users with access, but not finalized. |
| Live | Makes the budget the default for your team. |

### **Best Practices**

- Group related segments to simplify reporting and oversight.
- Use **Draft** status while building budgets to prevent premature use.
- Reserve **Test** status for training or experimental scenarios.
- Assign segment owners to ensure accountability for spending.
