Set Up Salesforce Integration

Easily set up and configure Planful for Marketing's integration with Salesforce.

Introduction 

Marketing organizations require insight into the performance of their campaigns, which can be measured as cost-per-outcome (CPO) or return on investment (ROI). Planful for Marketing's integration with Salesforce automates this tracking process.

The integration connects to Salesforce via a read-only integration to the Salesforce Campaign API, which pulls summary metric data. Users can map Salesforce metrics to Planful for Marketing metrics and Salesforce campaigns to Planful for Marketing campaigns. Planful for Marketing campaigns aggregate budget allocations, expenses, dates, tasks, metrics, metric targets, and content.

Once the connection is established, Planful for Marketing automatically pulls current metric data from Salesforce daily and as initiated by users from within the Planful for Marketing UI.

Integration Process 

To integrate your Salesforce with Planful for Marketing, follow these four steps (assuming you have the role of Planful for Marketing Admin for your account and access to the Salesforce Campaign API):

  1. Connect Planful for Marketing to Salesforce.
  2. Select the Salesforce metrics to be used in Planful for Marketing.
  3. Determine which Planful for Marketing campaigns should receive metrics from Salesforce.
  4. Map Salesforce campaigns to Planful for Marketing campaigns.

Once completed, your Salesforce metric data will flow automatically into Planful for Marketing, providing insight into how your campaigns are tracking compared to your targets, as well as projected future performance!

Step 1 - Connect Planful for Marketing with Salesforce 

After logging into Planful for Marketing (assuming you are a Planful for Marketing admin), follow these steps to enable the Salesforce integration:

  1. In the admin menu, select Integrations > Enable Salesforce.
  2. You can then select the preferred time of day for automatic metric updates from Salesforce.
    Note:
    The timezone will default to your local timezone.
  3. Click Next, if you haven't logged in to Salesforce yet, you'll be prompted to authenticate using your standard process.  

After authentication, the connection between Planful for Marketing and Salesforce will be established and complete.

Step 2 - Select Salesforce Metrics 

When you initiate the integration, you'll be taken to a screen where you can select which Salesforce metrics you want to use in Planful for Marketing and how you want to name them. On the left side, you'll see all quantity and currency metrics (either standard or custom) defined in your Salesforce campaigns. On the right side, you can select whether to map each Salesforce metric to a Planful for Marketing metric and, if so, which one to map it to. 

Note:
You can add custom metric definitions to Planful for Marketing, and they will then be available for selection here.

By default, some of the most common Salesforce metrics will already be mapped to a corresponding Planful for Marketing metric. For example, Leads in Campaign will be mapped to Leads.

You have the option to set these associations now by selecting the corresponding metrics (or clear any associations by selecting NOT MAPPED), or you can access this Salesforce Mapping screen again via the administrator menu at a later time.

Step 3 - Select Planful for Marketing campaigns to pull from Salesforce 

The next step is to choose a Planful for Marketing campaign to receive the data from Salesforce. To do this, open the relevant Planful for Marketing campaign and confirm that the correct metrics have been added to it. If they haven't, click Add Metrics and select one of the Planful for Marketing metrics that was mapped in the previous step.

Once you have added one or more metrics to your Planful for Marketing campaign that should be updated by Salesforce, the next step is to select one or more Salesforce source campaigns to map.

Step 4 - Map Salesforce campaigns to a Planful for Marketing campaign 

You can connect Salesforce campaigns to a Planful for Marketing campaign from either the Planful for Marketing campaign detail page or from any of its metric detail pages. If Salesforce is your only CRM integration, then the button will be called Manage Salesforce Sources. Otherwise, you will have the option to choose from your various integrations via Manage Integration Sources.

From this screen, you can identify which Salesforce campaigns you would like to map to this Planful for Marketing campaign. You can expand and collapse the hierarchy of Salesforce campaigns, filter the list by text, sort by campaign name or mapping status, and view which campaigns have or have not been mapped to Planful for Marketing.

Once you save the mappings, Planful for Marketing will automatically update metric values, Cost Per Outcome (CPO), and Return On Investment (ROI) as appropriate. If you’ve set metric targets, then Planful for Marketing will display an icon to indicate if you’re significantly ahead or behind the pace to achieve your goals.
