When you open Comments Manger for the first time, it retrieves comments based on the default setting for the Financial area. 

The default setting is editable by using the Selection Criteria pane. A grid is displayed with all the comments posted or updated by the logged-in user. Each comment on the thread is displayed individually in a row.

Toolbar

The following options are available in the Comments Manager toolbar:

Export to Excel

Export and download comments to excel format by clicking the excel icon on the toolbar. The downloaded file appears at the bottom of the screen with the file name Comments List.xlsx.

Refresh

You can click this icon to reload the Comments Manager page.

Settings

You can show, hide, and re-arrange the columns in the Comments Manager page based on your requirements. Additionally, You can drag and drop a column to reorder in the SHOW/HIDE COLUMNS drop-down list. The column settings are retained when you navigate away from the Comments Manager page or sign out of the application.

Selection Criteria

The Selection Criteria pane provides various fields based on which you can retrieve comments from the application. The following fields have default values:

  • User Name - Displays the logged-in user name. You can select one or all the users from the drop-down list.

  • Date - Displays the following options to view comments for a specific period:

    • Today - Displays all comments posted on the current date.

    • Last 7 days - Displays all comments posted in the last 7 days.

    • Last 30 days - Displays all comments posted in the last 30 days. This is the default option.

    • Custom - Displays all comments posted on the selected date range as displayed in the image below.

  • #Tag - Displays All as the default value. You can select one or all the tags from the drop-down list.

  • Model - Displays Model and Model Names. The list of Model Names is visible under the Operational Reporting Area as displayed in the image below. The default value is Financial

  • Scenario - Displays Actual as the default value. You can select one or all the scenarios from the drop-down list honoring dimension security.

  • Time - Displays the time hierarchy, Variables, and Custom Members.

  • Reset - Select this button to remove existing data in all fields at once. When you click this button, default values are displayed in all fields.

    Note:
    You need to click Apply after clicking Reset to reload the Comments Manager grid with default selections.

You can edit the default values based on your requirements. Also, you can select values for all other fields that are system and user-defined Financial or Model Segments. You can select any roll up, leaf, calculated, custom members, and variables honoring dimension security.

Note:
Alternate hierarchies, Attributes, and Attribute hierarchies are not available in the Selection Criteria pane.

The grid displays all comments based on Selection Criteria and dimension security. The columns displayed in the grid include all the dimensions for the selected model, user, created date, and comment. The adjustments made to the column width is retained when you navigate to another page or login to the application the next time.

The +mentioned users and #tags are highlighted in bold. By default, the Member labels are displayed in the grid.

The Selection Criteria pane retains your selection when you navigate away from the Comments Manager page or sign out of the application.

Filter

You can search the columns by using the Filter icon on the toolbar. When you click the icon, a search field appears at the top of every column. Type the required value and click Enter.

The filters applied on the grid are retained when you perform any grid actions, such as Highlight, Delete, and so on. If you apply a filter on the grid and then update the Selection Criteria pane, the filter value is displayed as All.

Note:
Filters applied on the grid are not retained when you navigate away from the Comments Manager page.

Full screen

You can view the Comments Manager in full screen mode by clicking the Full screen icon. This action hides the top banner and the left navigation pane in the application.

If you want to exit full-screen mode, click the Full Screen icon or press the ESC key on your keyboard.

Drop-down Menu

You can view the fields selected in the Selection Criteria pane by using this drop-down menu.

When you click the Arrow icon, a menu will be displayed as shown below.

More

Delete

You can delete single or multiple comments by using the More icon. Click the icon and select Delete to delete the required comments. If the first comment on a thread is deleted, all the other comments on the same thread are automatically deleted.

Highlight

You can select comments from the grid and use the Highlight option to mark the comment as important. The Highlighted icon is displayed next to the selected comment (as shown below).

You can highlight any comment on the Comment Manager page. Highlighting a comment thread does not highlight the associated comments. You need to highlight each comment separately.

Note:
The Highlight option is not applicable to resolved comments.

You can perform all functions such as Delete, Edit, and Reply on the highlighted comments.

You can view highlighted comments in the Dynamic Commentary column of a Dynamic Report and when you export the report in different formats.

Remove Highlight

You can use the Remove Highlight option to remove highlights from a single comment or multiple comments.

Comment Thread Pane

You can view all comments posted in a thread on the go while working in the Comments Manager page. To open the Comment Thread pane, click the required row and the Comment Thread pane will be displayed on the page.

You can perform various actions, such as Resolve, Edit, Highlight, and Delete directly while you are on the Comments Manager page.

You cannot perform the following actions from the Comment Thread pane:

  • Update the status of a task

  • Mention a user

  • Assign a task to a user

Audit Log for Comments Manager

Audit Log is enabled if the Dynamic Commentary functionality is enabled for the application. The user's Email address, IP address, Audit Action, Time Stamp, and Audit Description are maintained for Comments Manager. Audit Log exists for Comments as well.

In Practice: How to View Audit Log for Comments Manager

Go to Maintenance > Audit > View Audit Log > select Comments Manager form the Audit Area drop-down list > click View Logs.
