How to Lock Data in Consolidation Premium

When an entity’s data is unlocked, you retain full flexibility to enter or modify data using methods such as Data Load Rules (DLRs), journal entries, or manual input.

When an entity’s data is locked, all update methods are disabled. This ensures that once data is finalized, it remains protected from further edits, thereby preserving the accuracy and consistency of consolidated financial results.

How to Lock and Unlock Data

To lock data to prevent further data input and manage cube processing, follow the steps below:

  1. Navigate to Maintenance > Report Administration > Lock Data.

  2. Click the Lock Data tab.

  3. Select the period for which you want to lock data.

  4. Expand or collapse the Company hierarchy to locate the specific entity whose data you want to manage, or use the Search bar to enter the entity name and locate it.

  5. Cell colors indicate the following:

    • Green: Indicates the member or rollup is not locked for the selected period.

    • Red: Indicates the member or rollup is locked for the selected period.

    • Yellow: Indicates that one or more members of the rollup are locked.

  6. To lock a period or periods for an entity, select the cells and click the Lock icon.

  7. To unlock a period or periods for an entity, select the cells and click the Unlock icon.

  8. Click Save. The lock and unlock configuration is saved successfully.

Note:

  • All actions related to the Lock Data feature are recorded in the Audit Log. To access the Audit Log, navigate to Maintenance > Application Audit > View Audit Log.

  • The Lock Data feature only restricts uploading data into entities. This lock does not impact the consolidation process.
