Workforce Planning Data Load Rules

This article will guide you through the process of uploading the following data using Data Load Rules.
To get started, follow these steps:
Navigate to Maintenance> Data Integration > Data Load Rules > New Data Load Rule.
Create new data load rules to upload employee details. The following are the options available:
Compensation Items to Employees
This functionality allows you to incrementally update Workforce data versus reloading all Workforce data. Compensation Item Loads require that you load ALL compensation items for an employee. To load compensation items for employees, all compensation items mapped to the employees must be referenced in the source file that is used to load data. If only some compensation items are listed in the source file, any other compensation items mapped to the employee will be unmapped after the load.
New Data Load Rule
- Enter the Name of the data load rule.
- Enter the Description. This is optional.
- For the Load Type, select File Load.
- For the Load Item, select Workforce Planning.
- For the Load Sub Item, select Workforce - Employee Compensation.
- Select Next.
Select Sample Input File
- File Requirements: In the File Type field, select the format of the file being loaded.Note:Column Delimiter, Row Delimiter, and Text fields are auto-populated.
- Header: Based on the structure of the file being loaded, fill these fields:
- Row with Header: The number of header rows present in the load file.
- # of Rows to Skip: The number of rows the system should skip only to capture data.
- # of Source Fields: The number of columns with data.
- Number Format and Date Format: These fields are set by default and should only be changed if there is a change in the format of the file being loaded.
- File Information: In the Sample Data File field, select the file to be uploaded.
- Select Next.
Define Overall Rule Settings
- Scenario: Select a default scenario from the drop-down.Notes:
- When a working scenario is selected, the Process Employee checkbox allows users to process the employees in the WFP module.
- When data is loaded to the Default Scenario, the template must later be mapped to the working scenario.
- For Direct data input basis, Salary (Wage Type), and Work Hours (Wage Type), select the desired value based on which of the compensation items will be calculated.Notes:
- If Annual Value is selected, the uploaded value will be divided by 12 and if Monthly Value is selected, the uploaded value will be multiplied by 12.
- Select Next.
Manipulate Input File
Verify the Manipulated Data section reflects the headers from the source file and select Next.
Define Data Mappings
- For each of the headers listed in Source Columns, use the dropdown in the Map to column and select the corresponding members in the application.
- Select Next.
Load Data
- Upload the source file using the Choose File button.
- Verify the scenario selected and select Finish.
Employee Details
An Employee Data load is used to load employee details, such as position and attribute information, or a full load of employee information including compensation.

- Enter the Description. This is optional.
- For the Load Type, select File Load.
- For the Load Item, select Workforce Planning.
- For the Load Sub Item, select Workforce - Employee Data.
- Select Next.
Select Sample Input File

- Header: Based on the structure of the file being loaded, fill these fields:

- File Information: In the Sample Data File field, select the file to be uploaded.
- Select Next.
Define Overall Rule Settings
- Scenario: Select Default Scenario.Note:
After the data load is complete, the template can be copied from the default to the working scenario.
- Payroll Upload Date: Enter a date prior to or the same as the scenario start date.
- Process Employees checkbox: This selection is optional.
- Select the Load Columns option and add the necessary fields.Notes:
- The Load Column option is located above the Parameters section (See image).
- The load file must include the following information:
- Employee name and number
- Hire date
- Employee type
- Pay plan
- Position name
- Budget entity or budget entity dimensions
- Salary or rate/hours
- Other fields such as compensation items, attributes, etc. can be included.
- If you are performing Actions
- For Pay Plan Code, enter the Default Value as Equal Monthly.
- Delete all unnecessary Data Load Columns and arrange the rest in the same order as the source file for easier mapping in the next steps (See image)
- Select Next.
Manipulate Input File
Select Next.
Define Data Mappings
- For each of the headers listed in Source Columns, use the dropdown in the Map to column and select the corresponding members in the application.
- Select Next.
Load Data
Load the file and select Finish.
Data Load Details will be displayed with the status of the data loaded.
Employee Allocations
The Employee Allocations DLR option is used to load employee allocation percentages for all periods of each fiscal year within a scenario. Each employee’s allocation must total 100% for each period.
New Data Load Rule
- Enter the Name of the data load rule.
- Enter the Description. This is optional.
- For the Load Type, select File Load.
- For the Load Item, select Workforce Planning.
- For the Load Sub Item, select Workforce - Employee Allocations.
- Select Next.
Select Sample Input File
- File Requirements: In the File Type field, select the format of the file being loaded.Note:Column Delimiter, Row Delimiter, and Text fields are auto-populated.
- Header: Based on the structure of the file being loaded, fill these fields:
- Row with Header: The number of header rows present in the load file.
- # of Rows to Skip: The number of rows the system should skip only to capture data.
- # of Source Fields: The number of columns with data.
- Number Format and Date Format: These fields are set by default and should only be changed if there is a change in the format of the file being loaded.
- File Information: In the Sample Data File field, select the file to be uploaded.
- Select Next.
Define Overall Rule Settings
- Scenario: Select a working scenario from the drop-down. For example, Current Plan.Notes:
- If allocations are loaded to the default scenario, keep in mind that this is a system-defined scenario so the start year will be 2001.
- After the data load is complete, the template can be copied from the default to the working scenario
- Time Mapping: Select Down Rows, Across Columns, or Across Columns by Scenario based on the structure of the file being loaded.Notes:
- The load file must include the following information:
- Employee Number
- Plan Position
- The dimensions to be allocated. For example, Company and Department
- Fiscal Year
- Fiscal Month
- Allocation %
- The allocations in the file should be listed as whole number and not percentages or decimals.
- The load file must include the following information:
- Select Next.
Manipulate Input File
Select Next.
Define Data Mappings
- For each of the headers listed in Source Columns, use the dropdown in the Map to column and select the corresponding members in the application.
- Select Next.
Load Data
Load the file and select Finish.
- Data Load Details will be displayed with the status of the data loaded.
- If any changes are made to the file, re-load the file to step 3 of the data load rule before re-attempting to load.
