Workforce Planning — Compensation Items via DLR

Purpose

Provide instructions to load Compensation Items to employees using a Data Load Rule (DLR). If a source file lists only some items for an employee, any other items already mapped to that employee will be unmapped after the load.

How to Upload Compensation Item Data

  1. Open Data Load Rules
    Go to Maintenance > DLR > Data Load Rules.

  2. Create a new rule (New Data Load Rule tab)

    • Name: Enter a name (Description is optional).

    • Load Type: File Load.

    • Load Item: Workforce Planning.

    • Load Sub Item: Workforce – Employee Compensation.

    • Click Next.

  3. Select Sample Input File

    • File RequirementsFile Type: choose the format of the input file.
      Column Delimiter, Row Delimiter, and Text fields auto‑populate.

    • Header: set

      • Row with Header — number of header rows in the file.

      • # of Rows to Skip — rows to skip so only data rows are taken.

      • # of Source Fields — number of data columns.

    • Number Format and Date Format: use defaults unless the file format differs.

    • File InformationSample Data File: browse and select the file.

    • Click Next.

  4. Define Overall Rule Settings

    • Scenario: Default Scenario.
      Notes:

      • If you load to a working scenario, the Process Employee checkbox becomes available to process employees in the WFP module.

      • If you load to Default Scenario, map/copy the template to your working scenario later.

    • Direct data input basis, Salary (Wage Type), Work Hours (Wage Type): select values that determine how compensation items will be calculated.
      If Annual Value is selected, the uploaded value is divided by 12; if Monthly Value is selected, the uploaded value is multiplied by 12.

    • Click Next.

  5. Manipulate Input File
    Confirm the Manipulated Data headers match the source. If headers don’t auto‑populate, use More > Data Headers. Click Next.

  6. Define Data Mappings
    For each Source Column, select the corresponding Map to member in the application. Click Next.

  7. Load Data

    • Choose File to upload the source file.

    • Verify the Scenario.

    • Click Finish.

Notes

  • To verify DLR status, review Maintenance > Audit > Data Load History.

Workforce Planning — Employee Data Load Rule

Purpose

Provide instructions to load WFP employee details (position, attributes), or a full load of employee information including compensation, using DLR.

Uploading Employee Details Using DLR

  1. Open Data Load Rules
    Maintenance > DLR > Data Load RulesNew Data Load Rule.

  2. Define New Data Load Rule

    • Name: Enter a rule name.

    • Load Type: File Load.

    • Load Item: Workforce Planning.

    • Load Sub Item: Workforce – Employee Data.

    • Click Next.

  3. Select Sample Input File

    • File Type: choose your source format. (Delimiters/Text auto‑populate.)

    • Header: set Row with Header, # of Rows to Skip, # of Source Fields.

    • Number/Date Format: use defaults unless file differs.

    • Sample Data File: select the file.

    • Click Next.

  4. Define Overall Rule Settings

    • Scenario: Default Scenario.
      After load completes, copy from Default to the working scenario as needed.

    • Payroll Upload Date: a date on or before the scenario start date.

    • Process Employees: optional checkbox.

    • Load Columns: add the fields you will load (control is located above the Parameters section).

      • Remove any unnecessary columns and arrange the rest to match the source file order for easier mapping.

    • Default Values: set Pay Plan Code = Equal Monthly.

    • Click Next.

  5. Manipulate Input File
    Click Next (no changes required unless preview indicates otherwise).

  6. Define Data Mappings
    Map each Source Column to the appropriate application member. Click Next.

  7. Load Data
    Upload the file and click Finish. Data Load Details show the load status.

Required fields in the load file

  • Employee name and Employee number

  • Hire date

  • Employee type

  • Pay plan

  • Position name

  • Budget entity or budget entity dimensions

  • Salary or Rate/Hours

  • (Optional) Additional fields such as Compensation Items and Attributes

Workforce Planning — Data Load for Employee Allocation

Purpose

Provide instructions to load employee allocation percentages for all periods of each fiscal year within a scenario. Each employee’s allocations must total 100% for each period.

Uploading Employee Allocations Using DLR

  1. Open Data Load Rules
    Maintenance > DLR > Data Load RulesNew Data Load Rule.

  2. Define New Data Load Rule

    • Name: Enter a rule name.

    • Load Type: File Load.

    • Load Item: Workforce Planning.

    • Load Sub Item: Workforce – Employee Allocations.

    • Click Next.

  3. Select Sample Input File

    • File Type: choose your source format. (Delimiters/Text auto‑populate.)

    • Header: set Row with Header, # of Rows to Skip, # of Source Fields.

    • Number/Date Format: keep defaults unless file differs.

    • Sample Data File: select the file.

    • Click Next.

  4. Define Overall Rule Settings

    • Scenario: select a working scenario (e.g., Current Plan).
      Notes:

      • If loading to Default Scenario, remember it is system‑defined and the start year is 2001.

      • After loading to Default, copy to your working scenario.

    • Time Mapping: choose one based on your file layout:

      • Down Rows

      • Across Columns

      • Across Columns by Scenario

    • Click Next.

  5. Manipulate Input File
    Click Next.

  6. Define Data Mappings
    Map each Source Column to the corresponding application member. Click Next.

  7. Load Data
    Upload the file and click Finish.

Required fields & format rules for the allocation file

  • Employee Number

  • Plan Position

  • The dimension(s) being allocated (e.g., Company and Department)

  • Fiscal Year

  • Fiscal Month

  • Allocation % — enter whole numbers (not % symbols and not decimals)

  • Validation: Each employee must total 100% per period.

Notes

  • After loading, Data Load Details displays the load status.

  • If you change the file, re‑load it starting at Step 3 (Select Sample Input File) before re‑attempting the load.
