How to Initiate Consolidation Process from Org Chart

You can initiate the consolidation process of a group by selecting the Process option from the More menu.

If you want to initiate the consolidation process for an entity as a standalone, meaning not at a group level, then the Process option is available in the More menu of the company under No Group.

The following state transitions are available in the consolidation process:

  • Not Consolidated - The consolidation process has not been run or the consolidation process has failed.

  • In Progress - The consolidation process is running.

  • Consolidated - The consolidation process was completed successfully.

  • Locked - The consolidation process is completed and locked. This lock is for locking the consolidation process, not to lock the data. The Lock Data feature restricts loading new data into the entities whereas the Locked feature locks the consolidation process once the consolidation is run on a group or an entity.   • Modified - Any change has happened in the underlying data. However, if the status is Locked, it remains the same even if the underlying data is changed.

The Process option is available based on your security permissions in Consolidation Control Panel > Security. This option lets you grant limited access or process specific access to multiple users within your organization. To learn more about consolidation security, click here.

Note:

  • For a group, you can only initiate the consolidation process at the group level.

  • For standalone entities, you can initiate the consolidation process from No Group.

To initiate the consolidation process from the Org Chart, do the following:

  1. Navigate to Consolidation > Consolidation Control Panel > Org Chart tab.

  2. Select the required group or a standalone entity to process from the Select a group drop-down.

  3. Click the More menu in the group company card, and then select Process.

  4. Select the required checkboxes in the Process Setup window, and then click Process. The consolidation process is submitted and the group’s status changes to In Progress.

    Note:

    The system by default consider Eliminations when you run the consolidation process from the Org Chart or Cloud Scheduler.

  5. Once processed successfully, the status updates to Consolidated. Select Lock from the More menu. This will lock the consolidation process and the status changes to Locked.

  6. The status changes to Locked. Select Unlock from the More menu. This will unlock the consolidation process and change it back to Consolidated.

  7. If any data is changed in the entities that are part of the group, then the group’s status changes to Modified. You can click Process from the More menu to run the consolidation process again.

Understanding Validations Applicable to Group and Child Entity Relationship in Org Chart

The following validations must be considered before initiating the consolidation process in Org Chart:

  • You cannot initiate the consolidation process for an entity or a group in the current month if the previous months are not consolidated.

  • You cannot unlock an entity or a group for a particular month if the future months are locked. You must unlock the future periods first.

  • You cannot unlock an entity or a group if prior periods remain unlocked.

  • If a group is locked, then you cannot assign an entity from No Group or another group to the locked group.

  • If an entity is process locked under No Group, then you cannot assign it to another group for that period.

  • If a group is in a Consolidated and unlocked state and additional data is uploaded via DLR to any entity in this group, the group’s status changes to Modified.

    • If a group is in a Consolidated and Locked state, the status of the group does not change even if additional data is uploaded via DLR.
