How to Schedule and Run the Consolidation Process via Cloud Scheduler

To schedule the consolidation process via Cloud Scheduler, do the following:

  1. Navigate to Maintenance > Administration > Cloud Scheduler > Process Flow.

  2. Click Add on the Process Flow page. Three tabs are displayed on the Add Process Flow page: General Information, Tasks, and Scheduler.

  3. In the General Information tab, configure the following settings:

    1. Code - Enter up to 128 alpha-numeric or Latin-based characters. Code must be unique. This is a mandatory field.

    2. Name - Enter up to 256 alpha-numeric or Latin-based characters.

    3. E-mail Recipients - The user creating the process flow is included by default. Add other Planful or external users to receive email updates about the process flow. There’s no limit to the number of recipients.

  4. In the Tasks tab, configure the following settings:

    1. Click Add Task. The New Task window appears.

    2. Task Type - Select Consolidation from the drop down menu.

    3. Task Name - This field is auto-populated based on the configuration of the Scenario, Group, Company, and Period fields.

    4. Scenario - Click the browse icon and select the required scenario.

    5. Group - Click the browse icon and select the group for which you want to run the consolidation process. The group hierarchy from the Groups dimension is displayed.

    6. Company - If No Group is selected in the Group field, this field appears. Select the required company from the Company dimension hierarchy. You can further select a rollup company, which is under No Group, and the system will identify and process only the leaf companies under that rollup company.

    7. Period - Select the period for the consolidation process.

    8. (Optional Step) Dependencies - Select any dependencies. Tasks with dependencies only begin once the dependent tasks are successfully completed. A task cannot be dependent on itself.

    9. Configurable Steps - Select the applicable consolidation elements to include during the process.

    10. Email Recipients - Enter email addresses for users to receive task-specific updates. Both Planful and external recipients are supported.

    11. Click Save. The task is created successfully and appears in the Tasks tab.

  5. In the Scheduler tab, configure the following settings:

    1. Start Date - Select the date the process flow should begin execution.

    2. Start Time - Select the desired execution time..

    3. Time Zone - Select a UTC-specific time zone (e.g., UTC-08:00 Pacific Time, UTC-05:00 Eastern Time, etc.)

    4. Repeat - Select this checkbox to have the process execute more than once.

      1. Repeats - Select the repetition frequency of the task.

    5. Recurrence Ends - Select one of the following options:

      1. Never - The process continues indefinitely.

      2. End after - Ends after a specified number of runs.

      3. End by - Ends on a specified date.

  6. Select from the following scheduling options:

    1. Save - Click to save the process flow that you are creating without starting it (i.e., it remains inactive even if the start date occurs). You must have at least one task to save a process flow.

    2. Save & Schedule - Click to save the process flow and add it to the Job Manager to run as configured. You must have at least one task to schedule a process flow.

    3. Run Now - Click to execute the process flow, regardless of the start and repeat parameters you have selected.
