How to Create Report Collections in Dynamic Planning

The Report Collection feature provides advanced distribution capabilities for a set of Dynamic Reports. This feature enables you to generate and distribute a Report Collection in Excel format, which is created and distributed via the cloud. Once generated, the reports can be attached to emails and sent to designated recipients.

To create report collections in Dynamic Planning, follow these steps:

  1. Click the Add icon from the Reports home page and select Report Collection.

    Note:
    You can also select Dynamic Planning Report Collection to add any new report.


  2. On the Report Collection window, go to General Information and enter the following information:
    1. Code
    2. Name

  3. Select Dynamic Planning from the Reporting Area drop-down list.
    Note:
    The Dynamic Planning Report Collection will be automatically selected in the Select Folder field.


  4. Click the Select Reports link on the Reports tab to add reports to your Report Collection.

  5. Select reports from either Spotlight Reports or Excel Reports (EBR) in the Select - Dynamic Report window. These reports are pre-defined in SpotlightXL.

  6. Click Add to include all the selected reports in the Report Collection.
  7. Added reports are displayed in the Selected Reports pane.
  8. In the Action column, you can rearrange the order of the reports or remove any unwanted reports from the Report Collection.

  9. You can Add, Duplicate, or Delete a tab in the Report Collection by selecting the Tab drop-down menu.

  10. Go to Settings to select Report Collection output settings.

    Note:
    The default output format for both Spotlight Reports and EBRs is Excel.


  11. Select the Generate Single Output File checkbox to generate a single workbook with an individual sheet for each report in Excel.
    Note:
    If None is selected, one output file is generated for each report.


  12. Select the Custom File Name checkbox to enter a name for the report.
    Note:
    The default report name will be updated if this option is not selected.


  13. Select Name for EBR Report from the Tab drop-down list.

  14. Select Name from the Report Name drop-down list.
  15. Select Include to display the Date and Time in the exported report collection.
    Note:
    Optionally, you can also select Exclude not to display the Date and Time in the exported report collection.


  16. Now, click Distribution.
  17. Select the Send email notification to user(s) checkbox to send an email to selected users or user groups, and click the Compose Email link to create the email draft.
    Notes:
    You can perform the following actions for customizing the email:
    • Customize the subject and body of the email.
    • Add e-mail addresses of Planful and non-Planful users in the CC.


  18. Select Include reports as an attachment to attach the generated Report Collection output to the email. 
  19. Select Add / Remove User – User group to access a dialogue page. Here, you can designate Planful Users, Planful User Groups, and non-Planful Users (Other Users) for sending the Report Collection via email or sharing the output file with the selected users/user groups.

  20. Click Scheduler and select the Start Date from the calendar icon.
  21. Select Start Time from the Time drop-down list.

  22. Select the required Time Zone.
  23. Optional, you can select the Repeat checkbox to repeat the email schedule for the same date, time, and time zone.
  24. Select the required option for Repeats from the drop-down list.

  25. Select the Recurrence Ends from the available options.
  26. In the Email Recipients text box, you can enter the email addresses of the users or user groups for whom you want to schedule the distribution of the reports.
  27. Click Save.

Notes:
  • Save: Select this option to save the Report Collection. 
  • Save As: Select Save As to create a new report collection with a different name. The General Information, Reports, Settings, and Distribution tabs will be copied from the original collection, but the Scheduler will be empty for you to set up.
  • Run: Select this option to run the report. Additionally, the report collection is not run during the Save As process.

On the Dynamic Planning Report Collections landing page, you can turn the Scheduler On or Off using the Scheduler. Simultaneously, you can also enable or disable the Scheduler for multiple reports.

Notes:
  • If you turn on a Scheduler report after its due date, the report will not be sent at all. 
  • Reports will be sent for the number of times specified, regardless of the number of days calculated.

In Practice: Switch On/Off Scheduler for Reports

  1. Navigate to Reports and select Dynamic Planning Report Collections.
  2. Select a single report and select On/Off from the Scheduler drop-down list.

  3. Optionally, you can select multiple reports and click the Scheduler ON or OFF icon in the menu bar.
