A budget hierarchy is used to manage budget workflows and assign budget responsibilities to budget managers. It allows budget managers to work with their parts of the overall budget plan or forecast. By assigning budget managers to a specific part of a budget, you can provide them with budget input, approval, and other budget workflow privileges.

You can set up many types of hierarchies, but at the very least you will need to set up your Finance hierarchy and a Budget Entity hierarchy (for the Planning application). Budget Entity hierarchies allow budget users to work with their parts of the overall budget plan or forecast.

To set up a financial hierarchy, do the following:

  1. Select the hierarchy type as Entity Hierarchy from the dropdown.

  2. Select the required Dimension and Hierarchy from the Hierarchy Selection pane.

  3. Click Setup. The Entity Type Setup page appears. The budget entities you add here become associated with the children or the lowest level members.

On the Entity Type Setup page, defined entities are displayed. You will see the following options.


Let’s explore each of the options available on the Entity Hierarchies Page.


 

To add hierarchies based on the dimension you select, do the following:

  1. Enter a name and description for the entity type.
  2. Select Basis. You can base the entity type on attributes or segments. If you select Based on Attribute(s), the attribute mapping pane is opened.
    Note:

    Basis information can't be edited once the budget hierarchy is built.

  3. Select the Enable Default Member Selection checkbox. By selecting this checkbox, you can set up the default segment member of the attribute segment for the entity during entity setup. This helps to define a default member of the attribute segment for a budget entity based on the selected attribute value.
  4. Select a dimension from the Dimensions drop-down. This lists all the dimensions with configured attributes.
  5. Select the attributes you want to map (associate) with the new budget entity type in the Unmapped Attributes section. Click the forward arrow to map or associate selected attributes.

  6. The Mapped Attribute(s) section displays the attributes associated with the budget entity type. Click the backward arrow to unmap the selected attributes.
    Note:
    The Unmapped Attribute(s) and Mapped Attribute(s) sections appear only if you select the Basisas Based on Attribute(s).


In the example below, the Project entity type was created on the Project dimension. It is a user-defined attribute, which is displayed in the budget entity hierarchy so that project codes can be selected for professional services.


You can edit an existing hierarchy if the hierarchy is not in use. To do so, follow the steps below:

  1. Select the Entity Type and click the Edit icon. The Edit Entity Type page appears.
  2. Edit the Name and Description fields.
  3. Click Save.

This option is used to delete the financial hierarchy. 

  1.  Select the entity you want to delete.
  2. Click the Delete Icon. A confirmation message appears on the screen to confirm the deletion, as shown below.

The Apply Filters option simplifies your search process. By clicking this option, you can narrow down your search results by name, description, created and modified date, and created and modify by details.


These options allow you to export the hierarchy's data. Select one of the three export options from the dropdown list. 

  • Print: This option allows you to print the entity hierarchies. 
  • Print Setup: This option allows you to modify the default Print Settings. 
  • Export as Excel: This option allows you to export the entity hierarchies in Excel format.
