Introducing an enhanced way to share templates with Budget Managers! Use the Search feature to effortlessly share templates with managers and view the list of managers with whom the template is shared on the Share Template screen.

With this release, the Share Template screen now displays the list of users with whom the selected template has already been shared. To share the template with new users, you can search them using the new search field added in the Share Template screen.

Note
Managers are moved from the list once they complete action items so that it can be reshared for the next cycle.


In Practice: Share a template with Budget Managers:

On the Planning Control Panel screen, select the required Budget Entity in the left pane at any leaf level or its immediate parent level, select the desired template, and click Share. A Share Template pop-up appears that displays the list of budget managers with whom the template has already been shared. If the template is not shared with anyone, the list is empty.
Perform the following series of steps to share the template link via email:

  1. Select a GTSC or WFP template from the Select Template drop-down associated with the entity selected on the Structured Planning home page.


    Note:
    The View column in the Share Template screen only applies to Global Templates Single Copy (GTSC) templates. 
  2. In the Search field, enter the required username of the budget manager with whom you want to share the template. If you want to add more than one manager, add one after the other.
  3. Click the shield icon next to the added manager and validate the manager’s permissions to access the template. If any permissions are missing, you can directly navigate to User Management from the validate access pop-up and provide the necessary permissions.
  4. Select a View from the drop-down adjacent to the budget manager's name.
    Note:
    The view displayed for a user is the one that was most recently shared with them. If you want to share a new view, select it against the desired user name from the Views drop-down.
  5. When you share a template with the budget managers, you can customize the content of the email they receive. Click Enter a Message, and convey any additional information or instructions needed to review or edit the shared template with the managers.
    The Enter a Message section pre-populates the email content.  You can change the entire email text or add additional information to it as required.
  6. Click Send Email. A new task is also automatically created for the budget manager and an email with a link to access the template is sent to them.
    Note:
    Your content goes here Instead of sharing a template through email, you can use the Copy Link option to copy the template link and share it with any budget manager directly through a message. When you select a budget manager and click Copy Link, a new task is also automatically created for the budget manager.
