Workforce Planning Templates in Budget Manager Experience

The finance team can share Workforce Planning (WFP) templates with budget managers through email or copy link feature. 

Budget managers can access the WFP templates through the shared link in input mode if they have the necessary permissions. They can view and modify the employee data as required.


The WFP template displays the details of the employees in the template based on the Scenario and Budget Entity combination. The top menu bar of the template contains several options using which they can perform actions like copy, duplicate, edit, and delete employees, advanced search, reload, personalization, and access different reports. 


By default, the template displays the template details in List View. However, they can switch between List View and Card View.


Budget managers can select any entity from the Budget Entity drop-down if they have access to multiple budget entities.

The template displays the following details about each employee:

  • Employee Name
  • Employee Number
  • Home budget entity - This field shows the primary budget entity mapped to the employee.
  • Hire Date
  • Employee Type - It shows the employment type of the employee (contractor or full-time)
  • Position Description
  • Salary class - This field shows the compensation payment type (Annualized or Hourly)
  • Depending on Salary Class, you can see the following details:
    • Annualized - Annual Salary
    • Hourly - Hourly Salary and no.of hours worked

Additional Employee Information

Budget managers can click on any employee name to view and edit further details of the respective employee related to:

  • Position Info - This tab displays additional details about the employee like:
    • Position Description - Displays the name of the employee's job description.
    • Position Start - Displays the date when the employee started in that position.
    • Position End - Displays the date on which the employee has to leave the position.
    • Position Budget Entity - Displays the home budget entity mapped to the employee. It changes when the employee moves to another department
    • Current Raise Date: Displays the current year’s raise date.
    • Budget Raise Date: Displays the date in which the budget was raised.
    • Current Review In: Displays whether the current review is entered in Percentage or Amount.
    • Current Review Percent: Displays the raise calculations in percentage.
    • Current Review Amount: Displays the raise calculations in Amount. 
    • Budget Review In: Displays whether the budget is entered in Amount or Percentage. 
    • Budget Review Percent: Displays the merit that the employee will receive in percentage.
    • Budget Review Amount: Displays the adjusted employee salary in amount.
    • Review Type - Displays whether the employee is under single or multiple review type. For multiple review type, you can see the Date and Percentage fields.
    • Pay Plan - The salary plan (monthly, weekly, and more).
    • Adjusted Annual Salary - This field displays the annual salary impact of employees each year, including the additional cost after calculating budget reviews.
      For instance, you may want to compute an employee's yearly annual salary impact for different budget/forecast years with a $100K salary and an annual raise of 4.5%.
  • Compensation - You can view and edit the various compensation attributes defined for the employee.
  • I/P Compensation - Displays the compensation details of any special allowances that the employee might be entitled to. These compensation items are not part of the employee’s regular compensation items that are dependent on other employee attributes but are independent and can be added to the employee’s compensation on a need basis. For Example: Relocation expenses.
  • Allocations - It primarily displays the details about the Entity, Department, Product Org, and Project to which the employee is allocated.

Note
It is advisable to click the Reload icon on the top-right corner of the screen and refresh the data whenever the additional employee information is accessed for a long duration to see the latest details.

Advanced Search

Budget managers can use the search option in WFP templates to find any specific employee's details. In addition to finding specific employees, budget managers can use the Search option to filter down the list of employees they view in the template using different filter options available on the search screen.

The Advanced Search screen contains all the fields listed in the employee details as default search options. 

Note
The search options that budget managers see in the Advanced Search screen depend on the configuration set on the respective workforce planning template by the admin.

Using the Search Option:

  • After opening a WFP template, budget managers can click on the Search icon in the screen’s top right corner. The Advanced Search screen appears.
  • To find a specific employee or to filter the list of employees, budget managers can use any of the advanced search options or a combination of these options based on their requirements and click Apply. The application will display the list of those employees who match the selected search criteria.
  • Following are other options that budget managers can use while accessing the advanced search screen:
    • Reset - Use this option to clear the values provided in any Advanced Search field(s).
    • Cancel - Use this option to close the Advanced Search screen.

Compensation Report

Budget managers can click the Reports option and view the compensation details in a report format and export or print the report if needed. The employee report displays the information in three different views. The views are as follows:

  • Compensation View
  • Natural View
  • GL Account View
