Article summary

Overview

With the Design View subtask, you can create a new view on a selected model; modify view properties, property values, and cell format; and set up user security. Access the Design View subtask by selecting the Analyze Task and the Design View subtask.

Actions

The ribbon actions available for the Design View subtask are described below.
You can also use a secondary mouse click to view common menu commands.

Zoom In

Zoom In/Double Click

This action displays children of the selected member in a dimension hierarchy. For example, in the image below, Zoom In is selected for the Scenario dimension. Notice that all scenarios available in the list box are displayed in the spreadsheet. You can also select a specific scenario from the list box if you do not want to display them all.

Zoom In - Children

This is the default action if you just click Zoom In or if you double-click.

Select a dimension and then click Zoom In, and select Children. When Zoom In, Children is selected for the Time dimension, only the highest-level parent for each year is displayed.

Zoom In - Leaves

Select a dimension and then click Zoom In, and select Leaves. When Zoom In, Leaves is selected, leaf-level members associated with the selected dimension member are displayed, and all parent members in the dimension are removed from the view.

For example, if you select Scenario and click Zoom In, Leaves, the children are displayed and the parent member is removed.

Zoom In - All Children

Select a dimension and then click Zoom In, and select All Children. When Zoom In, All Children is selected for the Time dimension, yearly, quarterly, and monthly data for all years are displayed.

Note:
Use caution when selecting the All Children option. Using this option on dimensions with an enormous amount of members may impact performance.

Zoom In - Data Leaves

Select a dimension on the row axis and then click Zoom In, and select Data Leaves. When Zoom In, Data Leaves is selected, leaf-level members associated with all the dimensions on the row axis are displayed, but only if they contain data. All parent members in the dimension are removed from the view.

Zoom In - More Options

To perform a Zoom In action with a combination of options, select how far you want to Zoom in the upper section of the Zoom Options box, and what to do with the parent member in the lower section of the Zoom Options box.

You can keep the parent members above their children, move the parent members below the children, or remove the parent. Placing parent members below the children offers the ability to have subtotals and totals below the details in your views and subsequent reports.

Zoom Out

Zoom Out/Double-Click

Zoom Out to the next highest level within a dimension hierarchy. For example, in the images below there is a Time dimension that is expanded to show years. Double-click on the Time cell (or click on the cell and select Zoom In) to display all Time dimension members. Click on the cell that contains 2013, 2014, or 2015 and click Zoom Out to view only the parent Time dimension member.

Zoom Out - Parent

This is the default action if you just click Zoom Out.

Select a dimension member and then click Zoom Out, and select Parent. When Zoom Out, Parent is selected for a month in the Time dimension, only the next-highest-level parent for the month is displayed.

Zoom Out - Top Level

Select a dimension member and then click Zoom Out, and select Top Level. When Zoom Out, Top Level is selected for a month in the Time dimension, the view changes to go all the way back to the Top Level (the top or root of the dimension, or the topmost member in the dimension that you have access to).

Pivot

Swap row and column dimensions. For example, in the model below Scenario, Actual, and Forecast are column headers and 2014 is a row header. Click Pivot and 2013 becomes a column header and Actual and 2013 Budget become row headers.

Keep Only

Keep only certain data within a view. This action works the opposite of the Remove Only action. Select a cell containing members from a dimension you want to keep and click Keep Only. All other dimension members will be removed and only the data and metadata within the selected intersection will be displayed. Data that is not kept is not permanently removed or deleted. It is just removed from the view.

Remove Only

Remove data and metadata from a view. For example, there are two scenarios (Actual and Forecast) for 2014 and you want to view the Actual scenario only. Select the Forecast cell and click Remove Only. Remove Only does not permanently remove or delete data. It just removes the intersections from the view.

Properties

Click the Properties action to specify view output such as number format, the number of decimals displayed, and the width of the columns.

Note:
Dimension based Number Format defined at the View level is applicable on the page, row, and column axis.

Refresh

This action updates data in the spreadsheet after selections are made. For example, after selecting a scenario from the drop-down in the worksheet shown below, click Refresh to display the most current data. If you manually type members into the spreadsheet to change the layout of the analysis, click Refresh to see the most current data.

Save/ Save As

Save the view definitions.

When Save As is selected from the Design View page, all View Properties are set to the default selections with the exception of created and modified properties. Update the View Properties accordingly. Define group access for the new view. Created On and Created By fields are updated by the system based on the user who performs the Save As operation. Modified On and Modified By fields are blank until the view is modified.

When Save As is selected from the Design View Properties page, all View Properties are the same as those in the source view with the exception of group access and created and modified properties. Define group access for the new view. Created On and Created By fields are updated by the system based on the user who performs the Save As operation. Modified On and Modified By fields are blank until the view is modified.

In Practice: Perform a Save As for a view with Default Selections

  1. Select the Analyze task and the Design View subtask.

  2. Select Save, Save As.

  3. Enter a name for the view and select Save.

In Practice: Perform a Save As for a view with Source Selections:

  1. Select the Analyze task and the Design View subtask.

  2. Click Properties.

  3. Select Save, Save As.

  4. Enter a name for the view and select Save.

Properties

Frequently used View properties are under the More listbox and in the ribbon in the Properties portion. This prevents the need to go to the Properties screen to define them.

This functionality provides the flexibility to both analyze and report the data based on Code or based on Display Label for the dimensions in the Model.

Important
This functionality eliminates the need for lookups. However, you can continue to use lookups. If you want to use Display Label functionality for a model that has been sourced from Structured Planning, Consolidation, and Reporting applications with lookups, we recommend that you recreate the model.

For models sourced from Structured Planning, Consolidation, and Reporting applications, the Display Label is defaulted to the dimension member code-name. For example, if a dimension member is named Executive and the code is Exec, the Display Label would be Exec - Executive. If no name exists for dimension member, the dimension member code is displayed.

You can set the Display Label for each individual report or view.

Number Format

Change the number format for numeric values in the displayed view to Currency or Percentage . Numeric is the default.

Currency – display all numbers in the view in currency format ($).

Percent – display all numbers in the view in percentage format (%).

Numeric – display all numbers in the view in numeric format.Numeric is the default.

Suppress Rows/Columns

Suppress no rows/columns (None ), suppress rows/columns that have a zero value (Zero ), suppress rows/columns that have no data (Blank ), or suppress rows/columns that have a zero value and no data (Both - Zero and Blank ) for a displayed view.

Indent Row Members

Indent dimension members on the rows for the displayed view. Select Yes to indent or No . No is the default.

Width

The width of the column in the spreadsheet view as defined in pixel width. This setting applies to all columns in the view. A default setting 'Autofit' will adjust columns based on the data displayed in the columns.

Create a View and Specify View Properties

In Practice

  1. Select the Analyze task and the Data subtask. In this example, Detailed Revenue is selected as the model and Default as the View.

  2. Use actions to manipulate (for example, zoom in or out, remove, or keep only) the view as needed.

  3. Select the Design View subtask.

  4. Click Save.

  5. Enter a name for the view and click Save.

  6. The model layout is automatically saved with default properties.

  7. Click the Properties action to change properties associated with the view.

  8. Click Save.

Description of Spreadsheet Fields Available on the Properties

Description

Optionally enter a brief description of this view.

Dimension Based 'Number Format'

Select the dimension from the Dimension based 'Number Format' field you applied number format to on the Model Dimension page.For example, define Qty as Numeric, Amount as Percent, and Calculated Revenue as Currency.
Dimension Based Number Format defined at the View level are applicable on the page, row, or column axis.

Decimal

The number of decimal places following the whole number. For example, 56.435 is equal to 3 decimal places. 0 is the default. The maximum number of decimal places is 4.

Show Hidden Members

Ability to show members that have a Member Type of Hidden (as defined in dimension setup) in the View. If set to No , these members will be excluded. No is the default.

For example, in the image below, the DW Golf Europe Corp member will be hidden from the view for the KJCDYMOD model and the Company dimension unless you select Yes.

Enable Comments

Yes - Allow users to enter cell level comments.

No - Do not allow users to enter comments.

Enable Save

Yes – Allow users (members of the group that has access) to save changes to the data in the model. This save will write back data to the model in Dynamic Planning.

No – Do not allow users in the group to save changes to the model. No is the default.
This setting affects whether the Save Data and Breakback buttons are available on the ribbon.

Calculation on Save

Include a Calculation to be executed when you click Save. Select the calculation to run from the drop-down. This property is dependent upon the Enable Save property. Unless Enable Save is set to Yes, this calculation will not be executed.

By default, Calculations run in the foreground, and users must wait until the calculation is complete before continuing to use the view. Power users can set an application-wide setting to run calculations in the background for all views and reports that trigger calculations. Those calculations must have been created with the option Run in Background set to Yes. After the calculation has completed its processing, an email is automatically sent to the user that triggered it. Our recommendation is for Power users to set this option to Yes.

In Practice

  1. Select Manage > Application Administration > Application Settings. Scroll down to the Calculation Property section. After making changes, click Save. Then logoff and login again to see the effect of the changes.

  2. Select Model > Calculation to ensure that the calculation was set up with Run in Background set to Yes.

  3. You can see a list of all calculations and their current background setting by choosing Model, Setup. Select the model, then scroll down to the Calculations section.

  4. Select the calculation to run when the user clicks Save from the view.

  5. When the user clicks Save in the view or report, they see the following message:

Note:
The view or report no longer refreshes the data automatically after the user clicks Save.

Created On

The date and time the view was created. This cell is populated by the system.

Created By

The username of the user who created the view. This cell is populated by the system.

Modified On

The date and time in which the view was last modified. This cell is populated by the system.

Modified By

The username of the user who last modified the view. This cell is populated by the system.

Group

The name of the user group you want to have access to the view. You can assign more than one group access to the view. This field is optional. If no group is specified, the view can only be viewed by you.

You can add group access to only the group(s) for which you are a member. For example, if you are a member of Group “Finance” but not “Operations”, you can assign Group “Finance” and you will receive a validation error if you try to set access to “Operations”.

The list of available groups is the complete list of groups for which you have access and also have access to the model for which you are trying to save a view.

Attribute Property and Attribute Property Value

Select the attribute properties for the selected view. For Attribute Display, select from one of the following options:

Attributes with Dimension - Displays the attribute and the associated dimension.

Attributes without Dimension - Displays the attribute only.

Select the attributes you want to use for the view. Attributes are displayed for selection in the Select Attribute 1, Select Attribute 2 fields.

Note:
A maximum of 2 attributes is allowed for selection in a View.

Variable Name and Dimension

Enter the substitution variable and the dimension you want the variable applied to.

Enabling Menu Items in Views and Reports: Save Data and Breakback

Views and Reports each have Property settings for saving data and running calculations. These settings affect whether the Save Data and Breakback buttons are provided or not on the menu ribbon.

When Enable Save is Yes, and when Calculation on Save and Calculation Model have valid values, both Save Data and Breakback are enabled on the ribbon.

Breakback is dependent on the Save Data property. If Save Data is Yes, Breakback is available.

Save Data is dependent on the Calculation on Save property in Views and the Calculation Model property in Reports. Save Data in reports is always on if Enable Save is set to All Models.
