Entity Hierarchy Overview

Budget hierarchies and entity types are essential components for setting up your organization's budgeting structure. By configuring these correctly, you can ensure that your editing planning data is organized and reported accurately across departments, regions, and projects. 

Entities are a combination of dimensions. This combination of dimensions forms entities that make the Budget Entity Hierarchy. The Budget Entity hierarchy is important because you will create budget templates and map them to each entity within the hierarchy. Managing Budget Entity Hierarchy 

A budget entity hierarchy is a structure that organizes your financial data, allowing for effective budget tracking across various entities like departments, regions, or product lines. 

To manage a budget entity hierarchy: 

  1. Navigate to Maintenance > Hierarchy > Hierarchy Management
  2. Click Edit Hierarchy to open the Hierarchy Management interface in edit mode. If your Default View is set to Edit Mode, the interface will automatically open in Edit Mode. 
  3. Go to the Hierarchy Selection section on the left pane of the Hierarchy Management interface. 
  4. Select Entity Hierarchy as the Type
  5. Select Budget Entity Hierarchy from the dropdown for the Dimension and Hierarchy fields.

The main entity hierarchy is typically edited directly through the Hierarchy Management interface, where you can add and edit the hierarchy members and manage their properties. Click here to learn more about the Hierarchy Management Interface

While the Hierarchy Management interface helps you organize and manage the members within the entity hierarchy, the Entity Type Setup is where you add additional entities and define their underlying characteristics. This step is required to determine the additional entities' functionality and what data they will represent within the hierarchy. 

How to Add an Additional Entity Type? 

Entity Type Setup is where you define additional budget entity types and map them to dimensions. 

To add an additional entity type using Entity Type Setup, do the following: 

  1. Navigate to Maintenance > Hierarchy Management. 

  2. Click Edit Hierarchy to open the Hierarchy Management interface in edit mode.

    If your Default View is set to Edit Mode, the interface will automatically open in Edit Mode.
  3. Go to the Hierarchy Selection section on the left pane of the Hierarchy Management interface. 
  4. Select the hierarchy type as Entity Hierarchy from the dropdown.

  5. Select the Budget Entity Hierarchy for Dimension and Hierarchy from the Hierarchy Selection pane.

  6. Click Setup. The Entity Type Setup page appears. The budget entities you add here become associated with the children or the lowest-level members. Click here to learn the other selections on Entity Type Setup.

  7. Click the + button to create a new one. The Add Entity Type page appears. 
  8. Provide the Entity Type Name. 
  9. Optionally, fill in additional details such as the Description or purpose of the entity type. 
  10. Select Basis. You can base the entity type on attributes or segments. The Based on Attribute(s)is default.
    Note:
    Basis information can't be edited once the Budget Entity Hierarchy is built.
  11. Select the Enable Default Member Selection checkbox. By selecting this checkbox, you can set up the default segment member of the attribute segment for the entity during entity setup. This helps to define a default member of the attribute segment for a budget entity based on the selected attribute value. 
  12. Select a dimension from the Dimensions drop-down. This lists all the dimensions with configured attributes. 
  13. Select the attributes you want to map (associate) with the new budget entity type in the Unmapped Attributes section. 
  14. Click the forward arrow to map or associate selected attributes. The Mapped Attribute(s) section displays the attributes associated with the budget entity type.

  15. Click the backward arrow to unmap the selected attributes.
    Note:
    The Unmapped Attribute(s) and Mapped Attribute(s) sections appear only if you select the Basis as Based on Attribute(s).

  16. Click Save

In the example below, the Project entity type was created on the Project dimension. It is a user-defined attribute, which is displayed in the budget entity hierarchy so that project codes can be selected for professional services. Once created, this entity type can now be used within the budget hierarchy and mapped to relevant attributes. 


Selections on Entity Type Setup 

The selections on Entity Type Setup include: 

  • Add: Create a new additional entity type. Click here to learn more. 
  • Edit: Modify the Name and Description of an entity type. 
  • Delete: Remove an entity type. Select the entity type you want to delete and click on this icon to confirm the deletion. 
  • Apply Filter: Filter your search results by Entity Type Name, Entity Type Description, and, Modified/Created By, Modified/Created By Dates. 
  • Print: Allows you to print the entity types. 
  • Export as Excel: Allows you to export the Entity Types in Excel format.
