The Template List page is where the addition and setup of templates begins. Access the Template List page to add and design templates by navigating to Maintenance > Planning Templates > Template Setup.
Let's explore the options on the Template List page.
Add
This option is used to add a template. The Default scenario must be selected to enable the Add button as all templates must first be added to the Default scenario and then mapped to other scenarios. Click here to learn more about how to add a template.
Edit
This option is used to edit any of the existing templates. Note that you cannot edit the Template Type, Entity Type, or Data Transfer in the General Information section and the Enable Global Fields and the Enable Spreads options in the Editing Access section.
Delete
This option is used to delete a selected template. When templates are mapped to a locked scenario, they cannot be deleted. The Delete button is not available for locked scenarios to ensure data integrity.
When deleting templates, the system automatically checks to see which template-entity combinations contain data. A list of template-entity combinations that contain data is displayed. You can opt to continue with the deletion or cancel the deletion.
Copy
Copying a template and changing the time set is a convenient way of creating a new template. When you want to copy a template and change the time set of that template, complete the following steps:
- Access the Template List page by navigating to Maintenance > Templates > Template Setup.
- Select the original template you want to make a copy of.
- Click the Copy button. The Copy Template dialog page is displayed.
- Enter a new template code and name to identify the template and select the template type.
- Select the Change Time set checkbox, which will enable the Use Default Time set and Custom Time set options.
- Select the Custom Time Set option, which enables the Time set Settings fields.
- Select the appropriate Time set Settings.
- Click Copy.
- If you have existing templates you’d like to add time set functionality to, you must copy the template and add the time set functionality to the copy. Time set functionality cannot be added to the original template. This is because existing templates are already defined with a monthly time set definition by default.
- If you modify the Global Template - Entity Copy template, it will not affect other entities that use the template.
Setup
The Setup option has two options:
- Template Setup: This allows you to design the template. Template Setup fields and functions are available based on the template type selected. Once the template parameters are defined and setup, the template is ready to be designed. Designing the template to fit the users' needs is important. Functions such as headers, calculations, and row lines that can be used to enter data and to reference data from existing sources are available in the template design. Formatting, such as shading, borders, bolding, etc., is also incorporated at this level. Click here to learn more about this option.
- Spread Setup: This allows you to spread a value based on a defined spread pattern across time periods. For example, if you want to spread $1000 over 10 periods evenly, the system will spread $100 to each of the 10 periods. Click here to learn more about this option. Define spread methods for the template using the Spread Setup page. Based on the spread method the budget end-user selects when in Template Input mode in the Planning Control Panel, data is distributed from the total column to the related periods.
Mappings
You must map a template to a scenario and an entity to make it available in the Planning Control Panel. For example, map a new inventory budget entity to a Capital template to depreciate and amortize assets.

Apply Filter
This option is used to filter using the following labels and narrow down the search results:
- Template Label
- Entity Dependent
- Template Type
- Sign Reversal
- Status
- Modified Date
- Modified By
More
The following are the options under the More icon:
- Copy to Default Scenario: Available when you select a scenario besides Default. Click to copy template information back to the Default scenario.
- Lock: Lock the template to prevent other users from entering data. Or, unlock the template to allow data entry.
- Attach Documents: Attach documents to the template for users to access when performing budget input. End users can open attached documents and perform a document search.
- COA Segment Defaults: Available within the Default scenario to define the default segment members for all templates. On the COA Segment Defaults page, the Segment list is populated based on the segments defined for the template selected. For Default, select a default member for each segment.
- Define Time Sets: Time Sets allow budget input at a selected time period frequency in a budget template for each budget input year. This flexibility allows you to create templates with accurate operational plans and provides a means for long-term strategic planning. Time period frequencies include Year, Quarter, and Month. A time set definition (i.e. Month, Quarter, Quarter, Year, Year, Year) determines the template column structure for allowed budget input periods. The template will have 23 Budget input periods (assuming 12 month periods in a fiscal year). Click here to learn more about Time Sets.
Let’s say you have 6 Budget input years. The template is defined with the following time set definition:- Year 1 - Month = 12 periods
- Year 2 - Year = 1 period
- Year 3 - Quarter = 4 periods
- Year 4 - Quarter = 4 period
- Year 5 - Year = 1 period
- Year 6 - Year = 1 period
- You can export the template list either using Print or Export as Excel options. Print Setup allows you to set various parameters for printing dynamic reports or report sets. You can configure paper size, quality, scaling options, orientation, page order, margins, and other printing preferences.
Other Options
The other options that you see on the Template List page are:
- Scenario: Select a scenario to map templates to.
- Lock / Unlock / Delete / Copy: Select multiple templates from the Template List page and perform the following actions; Lock, Unlock, Delete, and Copy back to default scenario. Locked templates can't be modified by users.Note:When you have multiple templates selected, only applicable actions are available. All remaining actions are grayed out.
- Entity Dependent: If Yes, the template has dependent entities.
- Sign Reversal: If Yes, the credit type accounts are displayed and entered opposite the sign they are stored.
