Understanding the Promote Action in the Actions Menu

The Promote action enables you to initiate promotions with precise control over start dates and compensation adjustments.

Note:

Start dates for promotions must fall between the Position start date + 1 and the scenario's end date.

How To Promote an Employee

  1. Navigate to Maintenance > Workforce > Workforce Planning Setup. You will be on the Employees tab.

  2. Select the Scenario and Budget Entity. The employee roster displays all the employees.

  3. Search for the employee and click the Employee Number link from the roster to open the employee profile.

  4. On the Employee Profile, open the Actions menu and select Promote. The Promotion pop-up appears.

  5. Enter the following details in the pop-up:

    1. Promotion date in the Date field.

    2. Updated salary in the New Annual Salary field.

    3. New position in the New Position Description field.

      Note:

      You cannot select the current date. The calendar allows selection from the day after the Position Start Date, up to the scenario end date, regardless of the current date.

  6. Click Proceed. An employee profile with the new position is created, and you will see:

    1. The disabled Actions menu

    2. An updated Position Description

    3. The Active Position label indicates that this position is active due to the promotion.

    4. A Promotion label showing:

      1. Promoted from

      2. Schedule Date

      3. Previous Salary

      4. An Expand Lineage/ Collapse Lineage dropdown reveals a linked view of:

        • The Active Position — the new role created through promotion.

        • The Inactive Position — the previous role before promotion. Clicking on the Inactive Position in the lineage panel, you are navigated to the original profile before the promotion was applied.

          Each entry includes:

          • Action performed, here, Promotion.

          • Promoted from and Promoted to details

          • Promotion schedule date

  7. Click Save to confirm your changes.
    Note: You can see that the Actions menu is now enabled.

  8. Click the Back button to return to the employee roster and search for the same employee for whom you applied the promotion, or by clicking the Inactive Position in the lineage panel.  

  9. Open the original (inactive) employee profile. You will see:

    1. Inactive Position indicates that this position is no longer active due to the promotion.

    2. Promotion label with an Update Promotion Details icon next to it.  Clicking this icon allows you to modify the scheduled promotion date and the new annual salary that were set during the promotion.

      Notes:

      • The Actions menu, Save & New, and Save buttons are disabled.

      • All other fields are read-only and cannot be edited.

      • Editing the promotion is the only permitted action here, and changes made will be reflected in the promoted (active) position

How to Edit the Promotion

To edit the promotion date, follow these steps:

  1. Navigate to Maintenance > Workforce > Workforce Planning Setup. You will be on the Employees tab.

  2. Select the Scenario and Budget Entity. The employee roster displays all the employees.

  3. Search for the employee and click the Employee Number link from the roster to open the employee profile.
    Note: The Actions menu, Save & New, and Save options will be disabled.

  4. On the profile, you will see:

    1. The Inactive Position label indicating that this position is inactive due to the promotion.

    2. A Promotion label with the Update Promotion Details icon next to it.

    3. The Promoted to which position and the Schedule details.

    4. A lineage view in the left panel of the employee profile: The Expand Lineage / Collapse Lineage dropdown reveals a linked view of:

      1. The Active Position — the new role created through promotion

      2. The Inactive Position — the previous role before promotion

        Each entry includes:

        • Action performed, here, Promotion.

        • Promoted to and Promoted from details.

        • Promotion schedule date

      Clicking a node lets you navigate between the original and promoted profiles.

  5. Click the Update Promotion Details icon. The Update Promotion Details pop-up appears.

    Important: You cannot revoke a promotion. However, you can delete positions or employees to reverse the promotion.

  6. Modify the promotion date and the New Annual Salary (if required), then click Update.


    You will return to the employee profile with the new position (created when the promotion action was performed). The Promotion Date and Annual Salary values are updated.

  7. Click Save to confirm your changes. The Actions menu is enabled.

  8. If you want to go back to the original profile, click the Inactive Position in the lineage view.

    Similarly, from the original profile, you can click the Active Position in the lineage to return to the newly promoted profile.
