The Actions menu helps you to plan employee changes more effectively with planning actions such as Promote, Transfer, and Terminate, available directly within the employee profile. These guided actions replace manual workarounds, helping users streamline planning, maintain data consistency, and ensure accurate tracking of workforce movements.

The Actions Menu streamlines these actions and ensures that you can maintain accurate, up-to-date workforce data, making it easier to align with your business needs and optimize your planning process.

  • The Actions menu is available only in the Edit Employee window; it does not appear when adding employees.

  • Always select a scenario, except the Default scenario, as the Actions menu is not available in default scenarios.

Managing Roster Updates, Actions, and Deletions

Roster Update Capabilities

  • Mass updates and inline edits can be performed directly within the employee roster and card views for employees involved in advanced planning actions, including promotions (latest position), transfers (Transfer In), backfills, and normal employee profiles.

  • Advanced planning actions can be scheduled from the day after the Position Start Date, regardless of the current date, as long as the selected action date is on or after Position Start Date + 1 day.

Enhanced Delete Capabilities

Workforce Pro introduces advanced multi-select delete functionality to streamline roster maintenance, clean-up, and scenario management.

You can delete multiple employees at once, including any combination of:

  • Employees with no planned actions, employees with active or historical planned actions: Promotions, Transfers (In/Out), Terminations, and Backfills.

  • When deleting an employee with planned actions:

    • All connected lineage records (Promotion → Transfer → Termination) are automatically deleted

    • Unrelated Backfill positions remain intact unless part of the same chain.

  • If a selected employee cannot be deleted because of: Home Budget Entity restrictions, Locked or secured scenarios, insufficient approval or WFP permissions. The system skips only that employee, continues deleting all valid selections and returns a message identifying which records were skipped and why

The following records cannot be deleted:

  • Employees holding multiple simultaneous positions

  • Employees whose positions are locked by Scenario or Approval Role setup

Roster Update Restrictions

Certain restrictions apply to roster updates:

  • Perform mass updates and inline edits directly within the employee roster for employees involved in advanced planning actions, including promotions (latest position), transfers, backfills, and normal employees. This applies to both roster view and card view.

    • Mass updates and inline editing only apply to active employee profiles associated with advanced planning actions, such as the latest position for Promotions, Transfer-In, and Backfills. They do not apply to profiles tied to Termination, Transfer-Out, and Promotion records (previous position) profiles. These excluded profiles will continue to appear in the exception report as usual.
      For example, you can mass update the pay plan for employees recently

      promoted to their latest position, transferred in, or assigned to backfill.

    • Inline edits cannot be applied to Transfer Out profiles. If you attempt to edit fields for a Transfer Out employee, the changes will automatically revert to their original values. Updates are only saved for Transfer In employee profiles.

      For example, editing the bonus percentage for an employee transferring in will successfully apply, while the transferring out employee’s bonus will automatically revert to the previous value.

    • Inline edits cannot be applied to employee records for previous positions. For example, any attempt to edit the annual salary for a promoted employee’s previous position record will be rejected, and an exception report will be generated as shown below.

  • The Actions menu is disabled if the employee's Position End Date is in the past. Click here to learn more.

  • exception report will be generated. If an update attempt fails, the exception report includes:

    • Reason for Exception (e.g., Employees having advanced planning actions performed on them cannot be updated from roster or mass update.)

    • Employee Number

    • Employee Name

    • Position Description

    • Original Value

    • Attempted Value

  • Handling Multiple Actions on an Employee Profile

    • Actions on an employee profile are executed sequentially. For example, if an employee is promoted and later transferred, the Promotion label remains applied.

    • If the transferred position is deleted from the transferred employee profile, the Promotion label is restored to the original profile.

  • Managing Incremental and Simultaneous Positions

    • The Actions menu is unavailable for employee profiles with multiple simultaneous positions.

    • The Termination action button is disabled if the employee's Position End Date is in the past.

Generic Limitations

  • The addition of the attributes with the following names is not allowed. It prevents certain actions or causes failures:

    • Promotion

    • Previous Annual Salary

    • Termination

    • Transfer-In

    • Transfer-Out

  • Custom compensation items must be mapped before performing the required action, as the Save button is disabled after performing the advanced actions.

  • The Position dimension is mandatory in reports to ensure accurate data retrieval and analysis, as actions are performed at the position level and the attributes are also defined at the position level.
