Automatic Updates

Whenever the Hierarchy in PCR changes, the changes are automatically pushed to Dynamic Planning. In PCR, when the Power user modifies the Hierarchy and saves it, a refresh calculation is automatically triggered in Dynamic Planning. The next time when a user runs a view or report, they can simply click Refresh or Get Data to see the updated Hierarchy.

Manual Updates

Power users and Contributors have the option to manually update the Dynamic Planning model with metadata changes from PCR. This process occurs automatically in the background. However, if you prefer to refresh the model manually, you can execute the pre-generated refresh calculation. This calculation is created automatically when the model is generated and shares the same name as the model. You can select to review the calculation to gain an understanding of how the refresh works, or you can simply run it.

In Practice

  1. Login to SpotlightXL.

  2. Go to Model > Calculation.

  3. Select the model name from the Model drop-down.

  4. Select the calculation from the Calculation drop-down. There should be only one calculation listed, named for the model name followed by Refresh.

  5. The calculation already contains all the commands for refreshing the model.

  6. Click Run to run the calculation.

  7. Click Refresh a few times until the Current Status field shows Calculation completed.

Note:
Power and Contributor users can also run the calculation from Model Manager in Spotlight.

New Option to Automate the Dimension Hierarchy Process

We have now introduced an Enable Versioned Hierarchy Management flag to automate the dimension hierarchy process for the Analytical Model. Enable this flag to automate the actions such as locking, clearing up the rollup data, saving the hierarchy updates, unlocking the model, and running the selected calculation that used to take manual effort. When you save and publish the hierarchy, the application will automatically perform these actions for you. 

Required Flag: Enable Versioned Hierarchy Management

The Enable Versioned Hierarchy Management flag should be set to True. Please contact Planful Support to enable the flag.

Only Planful support can set the Enable Versioned Hierarchy Management flag to True. Once the flag is enabled, power and contributor users can generate the main hierarchy.

In Practice: Adding a member to the Dimensions Page

  1. Select a Model in SpotlightXL.

  2. Navigate to Dimension. Select the model you want to update.

  3. Select the dimension you want to map the hierarchy.
  4. Select the New Hierarchy Version from the Hierarchy drop-down list, and update the name.

  5. In the Action drop-down, you can select an action that the new version must perform. The options available are as follows:
    • Update
    • Set Display Label
    • Set Dimension Based Properties
  6. Map the dimension with the updated hierarchy version in Model > Setup.
  7. Select the calculation that the hierarchy has to run after publishing.
  8. Users will be notified upon completion.

If you do not wish to update the existing published hierarchy, you can create up to 10 versions of each dimension hierarchy within the published hierarchy. These dimension versions can either have the same or different dimension structures for all the dimensions in the model. You can update the new version of the published hierarchy and publish it to the end users.

In Practice: To create a version of the published hierarchy

  1. Navigate to Model > Dimension.
  2. Select the Model.
  3. You can select from Append, Set Display Label, or Set Dimension Based Properties to update the existing hierarchy.

In Practice: To publish the existing published hierarchy

  1. Navigate to Model > Setup.
  2. Click the Publish Hierarchies option in the Actions column.

  3. The selected version will be deleted.

Select appropriate versions for each dimension and calculation, and click Publish Hierarchies to publish the selected versions to the end users. After publishing the new hierarchy, it will retain the old and new hierarchies members' data.

If you already have 10 published hierarchy versions, delete any one of the hierarchies to create a new one.

In Practice: To delete the existing published hierarchy

  1. Navigate to Model > Setup.
  2. Click the Delete Hierarchies option in the Actions column.

  3. The selected version will be deleted.
Note
The first published hierarchy is called the Main Hierarchy, and you cannot delete a hierarchy version that’s in use.

In addition to the above features, the following are some additional rows added in the dimension:

  • Published Hierarchy - It displays the version of the selected dimension published to the end users.
  • Hierarchy - It displays the versions of the dimension hierarchy. You can also add new versions from here. After creating and updating the dimension hierarchy, save the hierarchy and navigate to Model > Setup for mapping and publishing the dimension version.
