Overview
Deploy Standard reports to make them active and available to users. Once reports are deployed, Administrators must grant user access. Dimension security functionality is applicable to standard reports. Users will only generate standard reports for entities/data to which they have access either by their assigned Budget Approval Role or within Dimension Security.

How to Deploy Standard Reports and Make Them Available to Users
Planful delivers presentation quality financial reports, budget workflow and administrative reports. These standard reports are organized into two major types:
System Reports -These reports are available in all customer applications and cannot be edited. They are generated by leveraging the reporting categories maintained against each of the financial dimensions (Chart of Accounts).
User Reports - These reports are published by uploading and deploying new reports and can be organized under Report Groups that you define.
Task 1 - Complete the following steps to deploy a standard report:
- Navigate to Maintenance > Reports > Standard Reports.
- Verify the Standard Reports tab is selected.
- Select the appropriate reports.
- Click the More list-box and select Deploy Reports.
- The progress bar at the bottom of the screen will indicate when deployment is complete. Deployed reported have an Active status.
Task 2 - Complete the following steps to provide user access to a report:
- Navigate to Maintenance > Admin > User Management.
- Select a user and click More.
- Select Report Access.
- Select the reports deployed in task 1.
Optionally, you can provide access to a group of users by completing task 3 instead of task 2.
Task 3 - Complete the following steps to provide group access to a report:
- Navigate to Maintenance > Admin > User Management.
- Select a user group and click More.
- Select Report Access.
- Select the reports deployed in the task 1.
Data Sources
Create user-defined data sources that you can edit. Specify parameters to import or exchange data with a SQL data source. Planful delivers system-defined data sources to access reporting cubes and the application database.
Navigate to Maintenance > Reports > Standard Reports and click the Data Sources tab. Click Add to create a data source. On the Add Data Source page, the following fields are shown:
Server Type
Select from one of the two types of supported servers; Microsoft SQL Server or Microsoft SQL Server Analysis Services.
Server Name
Enter the name of the server you are connecting to. The instance name must be correct and SQL Server must be properly configured to allow remote connections.
Database Name
Enter the name of the source database.
Authentication
An Authentication allows you to connect to a SQL Servers. Authentications are required to access data sources.
SQL Server Authentication is supported by Microsoft SQL Server.
Windows Authentication is supported by Microsoft SQL Server Analysis Services.
User Name/Password
Specify a user name for the database connection when you are using SQL Server Authentication. Provide the password for the database connection when you are using SQL Server Authentication.
Report Groups
Group reports for categorization purposes. For example, group all budget reports, consolidation reports, and so on. Access the Report Groups page by navigating to Maintenance > Reports > Standard Reports and click the Report Groups tab.
User Security Report
The User Security report provides detailed security privilege information for a selected user. It provides a quick way to find out a user's reporting role, navigation role, and so on. Administrators must deploy the report by accessing the Standard Reports page (Maintenance > Reports > Standard Reports).
Navigate to Maintenance > Reports > Standard Reports.
Select the checkbox next to User Security.
Click Run.
Select the user for which you want to view all security privileges, and click Run.
The following describes the fields on the User Security report output page.
Send Email
Open the Email page and email the report to one or multiple recipients.
User
Select a user and click Run to rerun the report for the newly selected user from the report interface itself.
Percentage list box
Select the percentage of the report to view. You can also select to view by page width or the whole page.
Select a format
XML file with report data
CSV (comma delimited) – If you select this option, the Level names will not be included in the output.
PDF – Not recommended due to the number of columns this report generates.
MHTML
Excel
Tiff
Word – Not recommended due to the number of columns this report generates.
Export
Once you select a format, Export changes from gray to blue. Choose this option to export the report with the format selected.
User Name
The name of the user for which you are running the report.
User Email
The email address for the user for which you are running the report.
Navigation Role
The role assigned to the user via the Navigation Role page. Navigation roles allow users to access specific navigation paths, which provides them with access to certain application pages and associated functionality.
Reporting Role
The role assigned to the user via the Add or Edit User Management page. There are two roles; regular user and reporting administrator.
Reporting Administrators can perform more extensive reporting tasks when compared to a regular user. For example, an administrator can add, edit and delete user accounts and has full control of all report components and folders in the File cabinet.
Regular Users are assigned permissions based on their role.
Status
Indicates whether the user is active or inactive. Users must have an active status to access the system.
Locked Status
Indicates whether the user is locked or unlocked. The user must have an unlocked status.
Authentication Mode
The way the system authenticates the user when the user attempts to perform certain actions.
Support Role
The role assigned to the user via the Add or Edit User Management page. The number of available Administrator support roles is based on your Service Level Agreement (SLA). Select whether the user you are adding needs an Administrator support role or a User support role.
Support ID
This is a read-only field updated based on your Planful application setup.
Level
The report displays entity hierarchy security privileges for up to 15 levels. If the user has security privileges for more than 15 levels, an alert message will display while generating this report.
Approval Role
The role assigned to the user via the Add or Edit Approval Role page. Approval roles allow users to perform budget activities for an entity.
Approval Role Based Security
Users with varying levels of user responsibility for budget entities should be set up using Approval Roles. For example, when a user has access to two entities (A and B), but has HR responsibility for entity B only you can restrict the user to only view specific data based on HR access for the approval role assigned for the entity. Approval Roles are created using the Approval Role page, which is accessed by navigating to Maintenance > User > Approval Role. Add an approval role or select an existing role and click Edit to display details. Once you have set up approval role details, access the Approval Role Setup page by navigating to Maintenance > Admin > User Management, selecting a user, and clicking on the User Actions button. Select Approval Role Setup. On the Approval Role Setup page a user can have access to two entities in a budget entity hierarchy, but when the user runs a report (or queries data), that user will see only data based on the Approval Role.
