How to Generate Staffing Summary Report?

Article summary

The Staffing Summary report is based on the Workforce Attribute selected for time, scenario, and budget entity. It displays the headcount for each month and is calculated based on the number of positions starting each month.

Note:
The Staffing Summary report must first be deployed to the File Cabinet for users to run the report. Click here to learn more on how to deploy the standard reports.

To generate the staffing summary report:

  1. Navigate to Maintenance > Report Administration > Standard Reports.
  2. Select Staffing Summary and click Run.

  3. Select the following: 
    • Scenario: Select one scenario to display data.
    • Budget Entity: Select one or more budget entities to display data.
    • Time: Select one or more years for time.
    • Workforce Attribute: Select the attribute and then choose the value you want to apply. For example, if you select Work State, select the CA value.
  4. Click Run and the Staffing Summary report displays on the Staffing Summary screen.

  5. Optionally, click Repeat Labels Off to summarize the repeated Entity Code in one column (as shown in the below image). You can turn it on again if required.

  6. Similarly, use the Hide option to hide all the fields visible on the screen and the Send Email option to send the report to the registered email address.

  7. Click the Export drop-down to find the options to download the report.

  8. Click Refresh to refresh the data.
Note:
Budget Entity and Template security are retained across all standard reports. All amounts are displayed in local currency for the Budget Entity. The default format of the report is applied based on the user's location. Default formats include number format, thousand separators, and decimals.

Let's understand this with an example:

This report outlines the staffing status within the Workforce entity for 2021, detailing the number of employees in different positions for each quarter of the year. The details are as follows:

Area Sales Manager:

  • One was hired on April 1, 2021, and another on October 1, 2021.
  • One in January, April, and July, and two in October 2021.
  • Total of five Area Sales Managers throughout the year.

Business Development Representative:

  • One was hired on January 17, 2021, another on April 1, 2021, and two more on July 1, 2021.
  • One in January, two in April, two in July, and one in October 2021.
  • Total of six Business Development Representatives throughout the year.
